PRIMARY POSITION FUNCTION/SUMMARY: Under limited supervision, manages accounting responsibilities for the University of Illinois Research Park LLC and Enterprise Works incubator. This position will administer lease administration, reconciliation of payments, grant accounting, and the integrate knowledge of University policies procurement and accounting procedures to perform the work. DUTIES AND RESPONSIBILITIES: ACCOUNTING MANAGEMENT Manage accounting and expense reporting for federal grant awards and provide documentation of budget expenditures to sponsored agencies. Serve as primary resource for the posting of expenses in for departmental transactions, including t-card purchases, p-card purchases, and travel expense reports. Upload and reconcile transactions into Quickbooks for the Research Park, LLC Independently keep abreast of changes or updates to University policies and procedures as they relate to accounting systems and procedures. Other duties as assigned appropriate for an Accounting Associate. LEASE ADMINISTRATION Administer EnterpriseWorks incubator lease agreements, including creation of lease agreements for incubator tenants in UI ICS contract system, monthly billing to tenants, receivable reports for past due payments, rent roll monthly reports, monitoring insurance documentation from tenants, and processing payments with tenants as needed. Tracking lease agreements across buildings in the Research Park by tenants, landlord, and location, including lease rates, duration of term, square feet, and tenant. Enter data in Salesforce CRM system and create reports for UIRP LLC use. Process ground lease payments to the UIRP LLC, including delivering and depositing checks at University Cashiering. GENERAL ADMINISTRATION EnterpriseWorks incubator inventory management including furniture, lab equipment, and computers using University systems such as FABWeb. Monthly and annual tracking of Entrepreneur-in-Residence and consulting/contractor hours for UIRP LLC and EnterpriseWorks by client and assistance type. Managing incubator building improvement and maintenance work orders with contractors and University Facilities and Services through procurement processes, work order entry system, create purchase orders, and paying invoices to contractors. Maintain and update documentation to support operational procedures related to position. QUALIFICATIONS: Education and Experience: Required: Bachelor’s degree with a major in Accountancy or a related field AND two (2) years of professional level accounting experience. OR Possession of current registration as a Certified Public Accountant (CPA), Certified Management Accountant, or a valid license to practice Public Accounting (LPA). OR Master’s degree in Accountancy or a related field. Preferred: Experience using Salesforce CRM system as a database system. Real estate or property management accounting and lease administration experience. Training, Licenses or Certifications: Preferred: Possession of a current registration as a Certified Public Accountant OR a valid license to practice Public Accounting. Knowledge, Skills, and Abilities: General knowledge of accounting principles, including cost analysis, budget review, journal entries and financial reporting. Proficiency with accounting systems such as Quickbooks and advanced use of Microsoft Excel. Effective verbal and written communication skills. Excellent keyboarding, grammar and proofreading skills to ensure accuracy and minimize errors in data entry. Strong interpersonal skills that reflect courtesy, diplomacy and a collaborative approach to develop and maintain effective working relationships. Ability to work independently and to exercise good judgment and discretion in the performance of work assignments. Ability to multi-task and prioritize work accordingly to meet deadlines while staying on task with daily assignments. Knowledge and respect for policies and procedures of the University of Illinois and State of Illinois. Preferred Skills: Knowledge and awareness of federal grants and University grants and contracts management. Proficiency in Banner Financial System and other University financial systems such as FabWeb, iCS contract system, and TEM expense management.
